What the Register of Wills Does
Mercer County's Register of Wills and Clerk of Orphans' Court share one office in Suite 112 (the Recorder of Deeds is separate), and the office doubles as the Department of Revenue's agent for inheritance-tax filing and collection — so the estate opens and the REV-1500 files at the same counter. There you (or your attorney) will:
- File the original will and petition for probate — with the required death certificate
- Qualify as executor or administrator — producing your Letters and short certificates
- File the inventory and inheritance-tax return as administration proceeds
- Research estate records — for the Shenango Valley homes, Grove City and Greenville farms, and lake properties that make up Mercer County estates

Hours are Monday through Friday, 8:30 a.m. to 4:30 p.m., and courthouse business genuinely ends at 4:30 — the Sheriff's screening station closes and deputies clear the building, so arrive with time to spare. Opening an Estate: What to Bring
- The original will (originals, not photocopies)
- An original death certificate — required with all probate and first filings
- A completed petition for probate and supporting forms
- Photo ID for each personal representative
- Payment — the letters fee is graduated by estate value under the county's published fee schedule, plus per-document charges and the statewide judicial fee; order short certificates at the same visit
Note the fee true-up: if the estate proves larger than estimated, the office renders a billing statement with payment due in 30 days — which makes the opening-day value estimate worth getting right (the same numbers drive the inheritance-tax return anyway). No video or remote qualification procedure is published, so plan on the executor qualifying in person; when we administer a Mercer County estate, we confirm current practice, prepare every document, and make it one run up I-79 — everything after it handled by phone, video, and mail.
Searching Estate Records
Mercer County's online search covers Recorder of Deeds land records only — original estate records live at Suite 112 and are researched there. We fold records requests into the engagement for title and heir work. And the standing planning note: a probated will eventually becomes a public record — families who want the outcome private pair their planning with a properly funded trust.
